AI Usage Policy

Fratelli includes AI-powered features — an assistant that can draft emails and documents, analyze your business data, suggest pricing and follow-ups, build customer-portal websites, and automate routine tasks. This policy explains how those features work, what we do with your data, and what we expect from you. It is part of the Terms of Service.
1. How AI Features Work
- When you use an AI feature, your request and the relevant records from your account (for example, the invoice you asked about, or your recent sales figures) are sent to our AI model provider, currently Google (Gemini models), and the response is returned to you.
- AI features run only when you or an automation you configured invoke them. Fratelli does not run AI over your data in the background for its own purposes.
- Each request is metered against your plan's AI limits; you can see usage in Settings → Billing.
2. Your Data and AI
- No training on your data. Our provider is contractually prohibited from using your prompts or account data to train or improve its models, and we do not train models on Customer Data.
- Minimization. We send only the data needed to answer the request. Card numbers, bank details, passwords, and full tax identifiers are never sent to AI models.
- Retention. Prompts and outputs are stored in your account so you can review them; provider-side logs are subject to the provider's abuse-monitoring retention (currently up to 30 days) under our contract.
- Your customers' data. If you use AI on records about your customers or employees, you are responsible for having a lawful basis to do so (see the Data Processing Addendum).
3. Accuracy and Responsibility
AI output can be wrong, outdated, incomplete, or biased, and may occasionally produce text that looks authoritative but is not. You must review AI output before relying on it or sending it to anyone. AI features do not provide legal, tax, accounting, financial, medical, or employment advice, and no professional relationship is created. Decisions you make based on AI output are yours.
4. Acceptable Use of AI
You may not use AI features to: generate unlawful, deceptive, defamatory, harassing, or discriminatory content; impersonate a person or organization; attempt to extract other customers' data or the underlying system prompts; circumvent safety filters; or produce content that violates our Acceptable Use Policy. Automated, high-volume use intended to exhaust plan limits or resell AI capacity is prohibited.
5. Transparency
- AI-generated drafts are labeled in the app until you edit or send them.
- Automated risk and health scoring used to protect the platform is described in the Privacy Policy (Section 4); a person reviews any account suspension.
- We will tell you when we change the AI provider or add a model that processes your data, via the Sub-processor List.
6. Controls
Account owners can disable AI features for their business in Settings → AI, restrict which team roles can use them, and delete AI conversation history. Disabling AI does not affect other features.
